TERMS & CONDITIONS
Photography, Videography & Event Management Services
1. Booking & Confirmation
All bookings with Prime Shot Media must be confirmed in writing. A booking is considered confirmed once the client has accepted the quotation, agreed to these Terms & Conditions, and paid the required booking fee or deposit.
2. Booking Fee / Deposit
A booking fee or deposit may be required to secure the agreed date and services. The amount will be stated in the quotation or invoice. Booking fees are non-refundable unless otherwise agreed in writing or required by applicable law.
3. Payment Terms
Payment terms will be specified in the quotation or invoice. Unless otherwise agreed in writing, the outstanding balance must be paid on or before the event date and before the final deliverables are released. Additional services or expenses may be charged separately.
4. Cancellation by the Client
If the client cancels a confirmed booking, the booking fee or deposit will remain non-refundable, subject to applicable law. Additional cancellation charges may apply depending on the notice period, work already completed, and expenses incurred.
5. Rescheduling
Requests to reschedule must be submitted in writing and are subject to availability. If Prime Shot Media is available on the new date, the booking may be transferred. Additional charges may apply for rescheduling, travel, or other costs already incurred.
6. Photography & Videography Services
Prime Shot Media will provide the photography, videography, and related services described in the agreed quotation or package. Specific shots, creative styles, deliverables, and production arrangements will be subject to the agreed scope of work.
7. Event Timing & Delays
Clients are responsible for ensuring that the event schedule allows sufficient time for the agreed coverage. Delays caused by the client, guests, venue, or other third parties may affect the final coverage. Additional shooting time may incur overtime charges.
8. Event Management
Where event management services are included in the agreed package, the scope of responsibility will be specified in the quotation. Prime Shot Media is not responsible for services, arrangements, or decisions outside the agreed scope.
9. Decorations & Equipment
Any decorations, props, lighting, equipment, or production materials supplied by Prime Shot Media will be limited to those specified in the agreed quotation. Clients are responsible for any venue restrictions affecting their use.
10. Third-Party Suppliers
Prime Shot Media may coordinate with venues, planners, decorators, models, makeup artists, or other third-party suppliers where required. Prime Shot Media is not responsible for the independent performance, delays, or failures of third-party suppliers.
11. Image Selection & Editing
Prime Shot Media will select and edit photographs and videos according to its professional style and the agreed package. Unedited RAW files, project files, and unused footage are not included unless expressly agreed in writing.
12. Delivery of Final Content
Estimated delivery times will be communicated to the client and may vary depending on the size and complexity of the project. Delivery will be made digitally or through another agreed method. Rush delivery may incur additional charges.
13. Copyright & Usage Rights
Unless otherwise agreed in writing, Prime Shot Media retains copyright in the photographs, videos, and other creative materials it produces. The client receives the usage rights specified in the quotation or agreement. Commercial, advertising, resale, or third-party usage beyond the agreed licence may require additional written permission and fees.
14. Portfolio & Promotional Use
Prime Shot Media may request permission to use selected photographs or videos for its portfolio, website, social media, and promotional materials. Any applicable privacy requirements or agreed restrictions will be respected. Clients who do not wish their content to be used for promotional purposes should notify Prime Shot Media in writing before the project.
15. Client & Guest Behaviour
Clients must ensure that staff, guests, and other attendees behave respectfully towards the production team. Prime Shot Media reserves the right to pause or discontinue services if staff safety is threatened or if serious misconduct prevents the team from working safely. Any resulting consequences will be handled in accordance with applicable law and the agreement.
16. Venue Restrictions & Permissions
The client is responsible for obtaining any necessary permissions from venues, property owners, event organisers, or relevant authorities unless otherwise agreed in writing. Drone filming and other restricted activities are subject to applicable UAE laws, permits, and approvals.
17. Travel & Additional Expenses
Travel, parking, accommodation, permits, studio rental, special equipment, talent, and other additional expenses are included only where expressly stated in the quotation. Any additional costs will be communicated to the client where reasonably practicable.
18. Force Majeure
Neither party will be held responsible for a failure or delay caused by circumstances beyond reasonable control, including severe weather, government restrictions, emergencies, or other unforeseen events. Both parties will make reasonable efforts to agree on an alternative arrangement where possible.
19. Staff / Photographer Replacement
If a team member becomes unavailable due to illness, emergency, or other unforeseen circumstances, Prime Shot Media may arrange a suitably qualified replacement where reasonably possible. The client will be informed of any material changes to the agreed arrangements.
20. Client Responsibilities
The client must provide accurate booking information, a confirmed schedule, venue details, access arrangements, and any relevant creative instructions. The client is responsible for ensuring that the production team can access the agreed locations and carry out the services safely.
21. Complaints
Any concerns regarding the services or delivered content should be submitted in writing to Prime Shot Media as soon as reasonably possible, with relevant details. Prime Shot Media will review the complaint and make reasonable efforts to resolve the matter. This section does not limit any rights the client has under applicable law.
22. Limitation of Liability
Prime Shot Media will exercise reasonable care and professional skill when providing its services. Any liability will be subject to applicable UAE law and the terms of the agreed contract. Nothing in these Terms & Conditions excludes or limits liability that cannot lawfully be excluded or limited.
23. Data Protection & Privacy
Prime Shot Media will handle personal information and project materials in accordance with applicable data protection and privacy laws. Clients should inform Prime Shot Media of relevant privacy requirements before the project begins.
24. Special Requests
Special shots, specific editing styles, additional revisions, urgent delivery, or other requests outside the agreed package must be discussed in advance. Additional fees may apply and will be confirmed where possible before the extra work begins.
25. Package Changes
Any changes to the selected package, deliverables, shooting hours, locations, or production requirements must be agreed in writing. Changes may affect the project price, schedule, and delivery date.
26. Booking Agreement
By confirming a booking, paying the required deposit, or proceeding with the services, the client acknowledges that they have read and agreed to these Terms & Conditions, together with the applicable quotation or invoice.
27. Governing Law
These Terms & Conditions are subject to the applicable laws of the United Arab Emirates. Any dispute will be handled by the competent authorities or courts in accordance with applicable law.
